Reducing our carbon footprint

In line with the NHS and many other medical practitioners and professionals, and in recognition of the need to play our part in being more environmentally friendly, Harmonize Care has converted to a system of electronic care records.

What does this mean for our customers?

A huge advantage is that there will be very little documentation left in the Customer’s home. In addition it provides a safe and centralised location for our Team to be updated on each situation as it ensures continuity of service if a Carer is ill or on holiday. When you start a contract with Harmonize Care, you will be provided with all of the information relating to the care plan and our contact details.

What if the customer is not capable of understanding how this works?

Many individuals receiving care choose to have a nominated family member to have access on their behalf to the records.
The type of information recorded:

  • Customer Care Plan
  • Risk Assessments
  • Emergency contacts
  • GP details
  • List of agreed tasks for the Carer to complete at each visit

Prior to commencing, we will collect information detailing the Customer’s wishes and care requirements. We will also ask for emergency contacts, next of kin, GP details, relevant medical and social history,  a list of prescribed medications, information related to the property such as the location of stop cocks, fuse board, the location and number for a key safe and a photo of the client.

How are the records updated?

The records are updated at each visit via a mobile phone. This is NOT the Carer’s personal phone but one issued by us. Both mobile phones, as with our electronic care records, have data protection safeguards bult in ensuring records remain secure at all times.

Security

Each phone or device has to be individually linked to the electronic record-keeping system in the form of the device ID to ensure data protection is in line with the GDPR 2018 regulations. It also requires Carers to log in and out at each visit to access the records. This also acts as a safeguard for our employees as required under the national Lone Working policy.

Electronic Care Records help identify who will be attending as they include:

  • A list of planned future visits
  • The name of the scheduled staff member booked
  • Photograph of the rostered Carer
